ToolVero exports selectable PDF text into an XLSX workbook with two columns: Page and Extracted text. It does not automatically rebuild the original table's individual columns, formulas or merged cells. This workflow is useful for reviewing text in a spreadsheet and preparing manual cleanup.
What the workbook actually contains
If a PDF line reads Widget A 2 12.50, the workbook contains a page label such as Page 1 in the first column and that text line in the second. You must separate the description, quantity and price into their own columns if you need calculations. Text items are grouped by approximate vertical position, so multi-column layouts can mix unrelated text on the same line.
Choose a suitable source
Try selecting a sentence in a PDF viewer. If the page is an image with no text layer, this tool has no OCR step to recognize it. Obtain a text-based export from the original application where possible. If the original spreadsheet exists, ask for that file instead: it preserves structure that a PDF may not contain.
Export and reconcile a small section first
- Use Extract PDF Pages to isolate a representative page if the report is long.
- Open PDF to Excel, choose the PDF and download the workbook.
- Open the PDF beside the workbook and compare a heading, an ordinary row and the last row.
- Separate fields manually or with your spreadsheet's text-splitting controls. Do not split blindly on every space when descriptions contain spaces.
- Check every critical number against the PDF before calculations.
Values that need special care
- Leading zeros: an identifier such as 00127 should usually be kept as text.
- Dates: 03/04 can mean different dates in different locales. Confirm the source convention before conversion.
- Negative values: parentheses may represent a negative amount, not decorative text.
- Decimals: decimal commas and thousands separators must match your spreadsheet's import settings.
- Repeated headers: remove page headers from the data range before counting rows or calculating totals.
When another output is more useful
If you need searchable paragraphs, try PDF to Text. If you need the page to look the same rather than editable cells, a page image may be more appropriate. Keep the PDF as the source of record until the extracted data has been checked; successful XLSX creation is not evidence of correct table reconstruction.
