How to Extract Text From a PDF

Practical guidance from ToolVero.

Extracting text from a PDF is useful when you need to reuse a paragraph, search a report, or move document text into another application. The most important question is whether the PDF contains a real text layer or only images of pages.

Start with the right input

A quick test is to open the PDF and try selecting a sentence. If the characters can be selected and copied, a text extraction tool is more likely to produce useful results. If the page behaves like a photograph, OCR is usually required instead.

What affects the result?

PDFs can contain multiple columns, headers, footers, tables and positioned text. Extraction may follow the document’s internal text order rather than the visual reading order. Review the output when layout matters.

A practical workflow

If you need an editable document rather than plain text, PDF to Word may be more convenient. If you need table data, PDF to Excel may be a better starting point. For scanned pages, Image to Text or another OCR workflow is more appropriate.

ToolVero and file handling

ToolVero’s PDF to Text tool is designed for text-based PDFs and browser-based extraction. Keep the original PDF and verify important figures, names and dates against it.

Quick checklist

  • Choose the right tool
  • Selectable text → PDF to Text.
  • Editable document → PDF to Word.
  • Tables → PDF to Excel.
  • Scanned image → OCR/Image to Text.
  • Visual page image → PDF to JPG/PNG.

Extract PDF text step by step

  1. Open the original in a PDF viewer and copy one sentence. If the copied text is empty or garbled, note that before conversion.
  2. Open PDF to Text and choose a text-based PDF.
  3. Run extraction. The tool assembles text in page order with page markers and creates a TXT download.
  4. Open that TXT in a text editor. Compare a heading, paragraph and number from several pages with the original.
  5. Remove repeated headers or fix line breaks only after saving an untouched extraction copy.

Worked check: a two-column report

Find the last sentence in the left column and the first sentence in the right column. Check whether they follow each other correctly in the extracted text. A PDF can store text fragments in an order that differs from how the page looks. The extractor joins those fragments; it does not reconstruct an accessible reading order or a spreadsheet table.

If the output contains only page labels

A scan can produce page markers without usable words. That is not successful OCR. Export the relevant page with PDF to PNG, then use Image to Text for English image text. This is a separate per-image workflow and does not add a searchable text layer to the original PDF.

What to verify before reusing quotations

Check punctuation, accents, minus signs and decimal points. A visually correct font can still have unusual character encoding. Keep page references with your notes so you can trace a quotation back to its source. For more on organizing the extracted material, see PDF text for research notes.

If you need editable paragraphs in DOCX instead, read the PDF-to-Word guide. Neither conversion guarantees preservation of the original page layout.
